..but I use the cloud, I don't need a backup!
We hear this a lot and it’s a common misunderstanding of how most services in the cloud operate and are sold. We’re not just beating on “the cloud”, we use G Suite and Microsoft 365 ourselves, and it surprised us how many of our customers didn’t know how little protection of their data and business there is in most services.
Cloud services are often sold around their high levels of redundancy for your data so that it’s always available to you, but that doesn’t mean it’s still available to you if it gets deleted in one of a number of ways; Sure, if your cloud provider has their own issues then they can probably recover your data, but if you have an issue, you’re probably on your own.
With Backoops we can change that balance and put it back in your favour, putting you in control over how long you retain copies of your data for and allowing you to recover your business from otherwise disastrous events.
What would happen to your business if you list all your data, emails and calendars in G Suite or Microsoft Office 365?
But why do I need my own backups? It’s a cloud service after all
Services such as G Suite and Microsoft 365 will place certain deleted data in the “trash” or “recycle bin” for a limited time period so that you can recover them, but once that time period has run out or you empty the trash, then that data is gone unless you have your own copy elsewhere.
I’m a paying customer, surely they’ll help me recover?

You’d hope so wouldn’t you? We’re afraid to say that beyond only temporarily deleting data by putting it in the trash/recycle bin you’re on your own when it comes to protecting your business.
Microsoft and Google give you:
- Protection from loss of service due to hardware failure, natural disasters etc
- Short term protection against certain deletions of data e.g. deleting an email, a file etc. by placing in the trash/recycle bin.
What they don’t protect you against are:
- User deletion after 20 days (G Suite) or 30 days (Microsoft 365)
- Hackers, ransomware and other malware destroying or encrypting data
- You can sometimes recover previous versions of a file - but imagine doing that for every single one of your files
- Malicious employees / departing employees
- Accidental deletion of your organisation (it does happen)
Just Imagine you have a disgruntled admin deleting your G Suite domain or a cyber attack where your Office 365 domain is targeted and deleted. There is no service within G Suite or Office 365 that will protect you from this.
What about Google Drive and OneDrive? Surely they are safe?
If you’re syncing files from your device to OneDrive or Google Drive then no, not really. They’re just as vulnerable to ransomware as if they were just on your device. Any ransomware infection will encrypt the files and OneDrive/Google Drive will dutifully synchronise the changes back to the cloud - including to shared/team drives.
With Backoops Cyber Protect we can help you prevent these attacks in the first place and with Backoops Cyber Backup we can help you recover your files, emails, calendars, users and even your whole organisation.
Gmail and Outlook must be protected?
Sorry, bad news again we’re afraid. Other than the recycle bin/trash you’re on your own after 25-30 days. We’ve all been there, either intentionally deleting an email thinking we won’t need it, or just accidentally deleting it and then later on realising that actually we did need it, or just can’t find it.
With Backoops Cyber Backup we backup your G Suite or Microsoft 365 data every day and you can set your own rules for how long you want to retain data for and to aid with your compliance.
It’s all a bit far-fetched isn’t it?
Unfortunately not, ransomware is on the rise and accidental deletions of whole domains/organisations do happen:
- Mosss sues Google to recover G Suite data
- University of California pays $1m ransom following cyber attack
